Option #1: Offering Amenity Spaces as an Event

Amenity_Spacing_Reserving_Time Slots_PhoneWith your Mobile Doorman resident app, residents can reserve and use amenity spaces at dedicated times through the event calendar - providing residents yet another option for reserving their space in advance and avoiding any need for manual help from a staff member.

During these times of COVID, this is also a great solution for property managers looking to implement contact tracing. Posting your amenities as an Event allows staff to easily pinpoint which residents were using your spaces on a specific date and time. 

Follow these five steps to set up your amenity space as an event today:

  1. Locate the Events feature within your left-hand navigation bar to begin.

  2. Click Add Event at the top of the page, and fill out the Name, Location and Photo fields as you normally would.

  3. For the Start & End times, create sessions for residents to reserve based on the space. (e.g. Allow residents to reserve a morning or afternoon slot for the pool, or 1-2 hr. sessions throughout the day for the gym, etc.)

  4. Use the Max Attendees & Guests fields to limit the amount of people who can be in the space at once. Also include a Description to explain the reservation (e.g. “Reserve a pool spot from 1-5pm”) and other distancing policies/procedures. Click Create Event to complete.

  5. Select the Recurring box to duplicate the event for up to 30 days and click Create Event to complete.
  6. Create new or repeat time slots by clicking on the newly created Event and selecting Duplicate Event. This creates a copy of your event for one week in the future.

  7. Change the start and end times as desired and click Create Event to complete.

Option #2: Advance Reservations

With your Mobile Doorman resident app, allow residents to reserve and use amenity spaces at dedicated times, ensuring you're never over capacity in these times of social distancing.

Plus, with this option, allow residents to reserve their space in advance, avoiding any need for manual help from a staff member to manage.

Follow these five simple steps to set up in your app today:

  1. Locate the Reservations feature within your left-hand navigation bar, and select New Space to begin.

  2. Add a Name, Photo and Description for the Space. The Description should explain the reservation and other distancing policies/procedures.

  3. Ensure the following fields are correct:

    • Viewable to Residents: Yes

    • Residents can Reserve directly?: Yes

    • Type of reservation: Hourly Booking

  4. Update the Payment terms and Earliest/Latest reservable hour fields. Click Save Space to complete. Repeat the process for each segment of your space.

Option #3: Walk-In's / Real-time Availability

Amenity_Spacing_Check_In_Out_PhoneFor those spaces needing staff attendants, like a community's pool or basketball court, use this option to allow for a seamless check-in and out process.

Additionally, this option allows for staff to easily block specific times each day for deep cleaning & sanitization. Follow these five easy steps to set up today:

  1. Locate the Reservations feature within your left-hand navigation bar, and select New Rentable to begin.

  2. Add a Name, Description, Instructions and Photo for the Rentable. The Description and Instructions should explain the reservation, how to reserve and other distancing policies.

  3. Update the Total field to reflect how many residents can access the Amenity Space at one time. Click Save to complete.

  4. To check-in a resident arriving at the space, navigate to the Reservations Dashboard and click Check-In & Check-Out under the Reservable item. Search for the Resident’s name/unit, type in the number of people entering the space and click Check-Out.

  5. When the Resident is leaving the space, navigate back to the Reservable’s Check-In & Check-Out page and select Return [Reservable Name] on the same line of the Resident’s name.

Option #4: Click-to-Call

Amenity_Spacing_Click_to_call_PhoneLooking for full control of resident reservations during these uncertain times? With the Click-to-Call option, market the re-opening of your amenity spaces while keeping your onsite team in complete control of who is reserving.

Follow these five simple steps to set up in your app today:

  1. Locate the Reservations feature within your left-hand navigation bar, and select New Space to begin.

  2. Add a Name, Photo and Description for the Space. The Description should explain the reservation and other distancing policies/procedures.

  3. Ensure the following fields are correct:

    • Viewable to Residents: Yes

    • Email Alerts: Yes

    • Residents can Reserve directly?: No - Residents must call to reserve

    • Phone: [Add your staff contact number]

    • Type of reservation: Hourly Booking

  4. Update the Payment Required?, Reservable Hours and Maximum Reservation Time fields to match the policy of the amenity space. Click Save Space to complete.

  5. If tracking reservations by phone via your Mobile Doorman Dashboard, navigate to your Reservations Dashboard, locate the Space and click Reserve to hold a time.

I don’t see Reservations in my Dashboard - how can I use the methods using this feature?

Email our team at Success@mobiledoorman.com with your community's information and we'd be happy to turn on this feature at your community today, at no charge.

 

How do I block time of Reservables when our staff needs to clean/sanitize the space?

Using the Walk-Ins/Real Time Availability, simply navigate to the Reservable you're looking to clean and check out the max number of reservations. This will block residents from trying to reserve during these times.

 

I'm not a Mobile Doorman user - can I just get set up with Amenity Spacing?
